Position Highlights

Banquets Coordinator. From the first client conversation to the final bill, your core purpose is to deliver banquets, conferences and functions that meet the client's needs, budget and the resort's standards. You will advise clients on facilities, menus, beverages and set-up, manage bookings, coordinate departments and staff, and keep costs and administration on target.

Key Responsibilities

  • Discuss each function with the client, show the available facilities and advise on menus, beverages, table plans, entertainment and table appointments such as flowers
  • Confirm facility availability, monitor provisional and confirmed bookings to prevent double bookings, and confirm all details to the guest in writing
  • Update the status board and advise all departments once a function is confirmed, using a checklist so nothing is forgotten, such as covers and where to assemble and serve
  • Liaise with the client a few days before the function to confirm numbers and inform the relevant department heads
  • Plan and cost menus within budgetary limits, and ensure food and liquor costs and profit margins stay at agreed levels
  • Compile duty rosters with enough experienced permanent and casual waiting staff
  • Ensure function and conference rooms are clean, with stationery, equipment and audio systems in place and working, and refreshments served and replenished on time
  • Be available to conference organizers throughout, and greet the host and circulate during functions to handle any problem or complaint
  • Complete administrative work on time, follow cash-up and banking procedures, and keep staff records in line with company and statutory requirements
  • Provide accurate billing information to the accounts department, and give feedback on guest letters and comments
  • Identify and act on new business opportunities, and achieve or exceed budgeted targets

Requirements, Skills & Traits

Requirements:

High school diploma or MBO diploma with 5 years of experience in a relevant position. Fluent in English, Papiamento, Spanish and Dutch. Knowledge of F&B operations. Supervisory training is a plus. Must hold a Dutch passport or a valid work permit.

Core Skills:

Banquet and conference sales, planning and coordination. Menu planning and costing within budget. Duty rostering, cash-up and administration. Good computer skills and suggestive (up)selling.

Soft Skills:

Strong leadership and good communication skills. Service oriented team player who understands guest inquiries and handles complaints calmly and courteously.

Success Metrics

Every function is delivered as booked with no double bookings, clients receive prompt and accurate answers, costs and margins stay on target, billing is correct, and budgeted targets are met or exceeded.
