Position Highlights

Reservationist. In this critical logistical role based at our back-office in Noord, you serve as the primary communication hub for our daily operations. Your core purpose is to manage the flow of guest inquiries and bookings across multiple digital channels while ensuring our operational teams have accurate, real-time overviews of activity availability. You are the voice of the brand, combining administrative precision with a proactive approach to sales and service.

Key Responsibilities

• Manage external communication with international guests via telephone, WhatsApp, and email with professional warmth.
• Coordinate internal communication with operational team members to align guest bookings with equipment and staff availability.
• Maintain and update meticulous operational overviews and digital booking schedules.
• Identify and act upon sales opportunities by creatively matching guest interests with our portfolio of 15+ activities.
• Securely process activity payments and manage reservation confirmations with high attention to detail.
• Resolve scheduling conflicts or guest inquiries using a patient and solution-oriented approach.
• Provide clear and accurate information regarding tour itineraries, safety requirements, and meeting locations.

Requirements, Skills & Traits

Requirements:

Proven experience in a reservations, customer service, or administrative role within the tourism industry. Full fluency in English, Dutch, and Spanish (speaking and writing). Flexibility to work varied shifts, including weekends and holidays, and availability to be on call after office hours.

Core Skills:

Intermediate computer proficiency, specifically with Microsoft Office and internet-based applications. Experience with booking platforms or reservation management software is highly valued.

Soft Skills:

Exceptional time management and prioritization skills. A proactive, patient, and collaborative attitude with the ability to maintain professional poise under pressure.

Success in this role is defined by the absolute accuracy of the daily reservation log and the high satisfaction of guests throughout the booking process. You demonstrate excellence through your ability to identify growth opportunities while maintaining seamless internal coordination. A high-performing Reservationist ensures that every guest interaction is handled with “quiet authority,” resulting in a well-organized and stable operational flow for the entire Delphi team.
