Position Overview

Divi Resorts is seeking a detailed and analytical Warehouse & Purchasing Admin Assistant to support inbound and outbound logistics and financial administration. This role is essential for maintaining accurate container logs, processing purchasing payments, and providing high-level administrative support to the Purchasing Director. It is an ideal opportunity for an organized professional who thrives in a dynamic environment and possesses a strong understanding of warehouse processes.

Key Responsibilities

• Coordinate and monitor inbound and outbound containers, tracking status, arrival dates, and delivery timelines.
• Maintain accurate container logs, shipment records, and ensure all receiving documentation is complete and properly filed.
• Follow up with shipping agents, suppliers, and the warehouse team regarding logistical discrepancies.
• Process and track all warehouse and purchasing-related payments, verifying invoices against purchase orders and receiving documents.
• Maintain detailed Excel tracking sheets for payments and commitments, monitoring due dates to ensure timely processing.
• Assist in resolving payment discrepancies and prepare payment summaries and financial reports for management review.
• Provide administrative support to the Purchasing Director and maintain updated purchase order tracking sheets.
• Support cost analysis and reporting while ensuring proper documentation for audit and compliance purposes.

Requirements & Qualifications

• MBO degree in Business Administration, Accounting, or a related field.
• Minimum of 2 years of experience in administration, purchasing, logistics, or financial administration.
• Proven experience with payment processing and invoice reconciliation.
• Advanced proficiency in Microsoft Office, particularly Excel (formulas, pivot tables, tracking systems).
• Strong understanding of warehouse processes, purchasing procedures, and container handling (inbound and outbound).
• High level of integrity when handling financial information.
• Excellent organizational, analytical, and problem-solving skills with strong attention to detail.
• Effective communication skills and the ability to manage multiple priorities in a fast-paced environment.
• Possession of a Dutch passport or a valid work permit for Aruba.
